Operating Systems Guide

How Dynamic Man Runs

The systems behind every channel, client, and content workflow — what's active, what's manual, and what's evolving. Reviewed and beefed up over time.

Section 1

Lead Generation Systems

How Dynamic Man generates inbound interest across organic channels — primarily Twitter — through consistent posting, replies, and engagement-driven content.

Standard Posts and Replies
Active

Ongoing organic posting and reply engagement on Twitter to grow reach, drive profile visits, and surface inbound conversations.

Engagement Posts
Active

Higher-effort posts written by Will designed to drive engagement, replies, and email signups. Distinct from Pat's standard posting cadence.

Platform Landing Pages
Active

Each distribution platform points to its own opt-in page — same content and same form as the standard sign-up page, but each on a different URL slug so we can attribute inbound signups to source. All slugs live under patstedman.com/.

PlatformLink
Twitter / X/sign-up
YouTube/signup
Instagram/join
Facebook/start
TikTok/free
Substack/start-now
LinkedIn/connect
Facebook (paid)/4-steps
Application Pages
Active

Coaching-application URL slugs. Each one is a separate entry point for a coaching application so we can attribute applications by source or by intended coaching type. All slugs live under patstedman.com/.

SlugIntended use
/relationship-coachingRelationship-coaching application (married / committed)
/dating-coachingDating-coaching application (single)
/dating-trainingDating-training entry point

Section 2

YouTube Process

How live streams are planned, packaged, and repurposed into evergreen content on YouTube.

Pre-Stream: Plan + Initial Thumbnail
Active

Each live stream is planned in advance and a thumbnail is posted beforehand to drive registrations and reminders.

Post-Stream: Upgraded Thumbnail
Active

After the stream, the placeholder thumbnail is replaced with a higher-performing version optimized for evergreen viewership.

Repurpose into Mid-Length Video
Conditional

If the topic fits, the live stream is cut down and re-edited into a tighter mid-length video for the main YouTube feed.

Section 3

Social Media Posting

Daily social posting workflow across every platform. Three posts per day, sourced from material that already performed well elsewhere. Currently run by Will + Pat; intended to move to a dedicated social-media hire once scaled.

Ideation Sources
Active

Nothing new is written from scratch. Every daily post is a repurpose of material that already earned traction — specifically tweets that performed well on X/Twitter and emails that hit strong opens/clicks or generated notable replies. The daily owner picks what's worth extending and routes it into one of the three production paths below.

Three Daily Posts
Active

Three posts produced every day, one from each production path:

PathHow it's made
Opus ClipsShort-form clips generated in Opus, from either a longer written post or a longer YouTube video already published
Create SocialCustom scripted short-form — Will writes the script or briefs Pat with a prompt, Pat records the piece
CarouselsMulti-slide visual posts (image-per-slide format)
Distribution Across Six Platforms
Active

Every post is distributed across all six platforms below. Two format exceptions apply — LinkedIn gets all three types but carousels are posted as text, and Substack only receives carousels, always as text (no video support).

Handoff to a Dedicated Hire
Planned

This whole workflow — ideation → three-per-day production → six-platform distribution — is intended to move to a dedicated social-media role. The three items above are the seed for a fuller SOP; they'll get refined as gaps surface through actual execution.

Section 4

Client Process

The lifecycle of a 1-on-1 coaching client — from onboarding through ongoing touchpoints designed to surface social proof and referrals.

Onboarding — Coaching Package
Manual

Send the package for signature once a new client is enrolled.

Month 2 — Client Survey
Manual

Send a survey at the two-month mark to capture early progress, friction, and qualitative feedback.

Month 3 — Soft Referral Mention
Manual

First, low-pressure mention of referrals — plants the seed without making it a formal ask.

Month 4 — Testimonial Ask
Manual

Begin actively requesting a testimonial once enough progress and trust have accumulated.

Ongoing — Referrals + Testimonials
Manual

Continue bringing up referrals and testimonials at natural moments throughout the engagement.

Section 5

Client & Lead Tracker

Excel spreadsheet tracking the full pipeline — current leads, active clients, and where each one stands. Reviewed once a week as part of the standing call.

Weekly Spreadsheet Review
Weekly

Open the tracker once a week and walk through it together. Review new leads, status of active clients, follow-up actions due, and anything flagged for discussion.

Section 6

Telegram Group

Masterclass customer group — keeping it active and ensuring Pat's voice is present in the conversation.

Weekly Update Posts
Active

Weekly post in the group highlighting what's worth looking at — keeps members engaged and surfaces the most relevant content.

Pat Engagement in Threads
In Review

Make sure Pat is replying to comments and conversations in the group on a regular basis — currently a known gap to monitor.

Section 7

Automations — Zapier

Behind-the-scenes zaps that route data from ThriveCart and Tripetto into Facebook Conversions, Thinkific, Google Sheets, and Berserkermail. All four are currently on.

Email/Cold Tripetto Application → FB/Berserkermail
Active

Fires when someone submits the Tripetto application form. Sends a conversion event to Facebook and logs the applicant to Google Sheets. Current version: v3.

DMM Fulfillment
Active

Fires on a Dynamic Man Masterclass purchase in ThriveCart. Enrolls the buyer in Thinkific, writes to two Google Sheets, and sends a filtered webhook to Berserkermail. Current version: v7.

DMM Abandoned
Active

Fires on a ThriveCart purchase event and sends a webhook to Berserkermail. Named "Abandoned" despite triggering on successful purchase — worth reviewing whether the name reflects intent. Current version: v1.

Tackling Texting Abandoned
Draft Pending

Same pattern as DMM Abandoned but for the $9 Tackling Texting product. A v2 draft is pending — worth reviewing whether to publish or discard.
